Job Overview:
An Audio-Visual Project Coordinator plays a critical role in the planning, coordination, and execution of audiovisual projects. They work closely with project managers, engineers, technicians, and clients to ensure that AV projects are delivered on time, within scope, and according to specifications. This role involves project planning, resource management, client communication, and logistical coordination, Additionally Service Coordination involves in managing the scheduling, logistics, and support of audiovisual services. Ensuring that AV services are delivered seamlessly to clients and that technical resources are allocated efficiently. This position involves coordinating service requests, liaising with technicians, and maintaining client satisfaction.


Key Responsibilities:


1) Project Planning and Scheduling:

  • Collaborate with project managers to develop project plans, timelines, and budgets.
  • Create detailed project schedules, including task assignments and milestones.


    2) Service Scheduling:
  • Receive and process service requests from clients, internal teams, or external stakeholders.
  • Create and maintain a service schedule, ensuring that technicians are assigned to tasks based on their expertise and availability.

    3) Technician Assignment:
  • Assign audiovisual technicians to service requests, considering their skills and qualifications.
  • Communicate service assignments to technicians and provide them with all necessary details.


    4) Resource Allocation:
  • Coordinate and allocate resources, including personnel, equipment, Tools, and materials, to meet project requirements.
  • Monitor resource availability and adjust plans as necessary.
  • Coordinate the allocation of AV equipment, tools, and materials required for service requests.
  • Ensure that the necessary resources are available and in good working condition.


    5) Client Communication:
  • Serve as the primary point of contact for clients, providing information on service scheduling, estimated completion times, and any updates or changes.
  • Address client inquiries, concerns, and feedback to maintain high client satisfaction.


    6) Documentation and Reporting:
  • Co-Ordinate with Drawing/Documentation team and Projects Team to Maintain accurate project documentation, including project plans, change orders, equipment lists, and as-built drawings etc.
  • Maintain detailed records of service requests, technician assignments, equipment usage, and service completion.
  • Generate reports on service performance, including response times, resolution rates, and customer feedback.


    7) Quality Control:
  • Ensure that service tasks are completed in accordance with established standards and quality guidelines.
  • Conduct follow-up assessments to confirm client satisfaction and address any issues.


    8) Project Coordination:
  • Co-ordinate with respective department for project logistics, including equipment delivery, installation schedules, and site preparations.
  • Ensure that project teams have the necessary information and resources to execute tasks efficiently.


    9) Logistics and Planning:
  • Co-Ordinate with Admin team to Arrange transportation, accommodations, and other logistics as needed for Technicians/Engineers who work on remote or off-site projects/Service Calls.
  • Plan and coordinate for the stand-by AV equipment for Project and service calls.


    10) Budget Management:
  • Assist Project manager in tracking project budgets and expenses to ensure projects remain within budget constraints.


    11) Health and Safety Compliance:
  • Ensure that all safety regulations and protocols are followed during project execution to maintain a safe work environment.
  • Preparing the Documentation required on site for project execution.


    12) Escalation and Issue Resolution:
  • Act as a point of escalation for service-related challenges or disputes, working to resolve issues promptly and professionally.


    13) Training and Support:
  • Provide training and guidance to technicians to enhance their service capabilities and technical skills.
  • Offer technical support and troubleshooting assistance to technicians as needed.


    Qualifications:
  • High school diploma or equivalent; associate’s or bachelor’s degree in a related field is a plus.
  • Proven experience in service coordination, preferably in the audiovisual or technology industry.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills for client interactions and team collaboration.
  • Proficiency in service/Project management software and tools.
  • Attention to detail and the ability to work in a fast-paced environment.
  • Flexibility to adapt to changing service needs.
  • Knowledge of audiovisual equipment and technology is beneficial.
